Calculation method
Each line equals quantity × unit rate. The subtotal is the sum of the lines. The discount is a fixed amount, capped at the subtotal. Tax = (subtotal − discount) × tax rate ÷ 100. Total = subtotal − discount + tax + shipping. Balance due = total − amount paid, with a minimum of zero. The separate shipping field is outside the tax calculation; this may not suit your transaction’s tax treatment.

The browser uses JavaScript floating-point arithmetic and formats results to two decimal places for display, without rounding each intermediate value. Account saving uses PHP to round each line to two decimals first, then rounds tax, total and balance to two decimals. PHP’s default round behavior rounds halfway values away from zero. These paths can differ by a cent or more.
For example, two lines each with quantity 0.33 and rate 0.05 have raw amounts of 0.0165 each. With no tax, discount or shipping, the browser sums 0.033 and displays 0.03. Account saving rounds each line to 0.02 and produces 0.04. Both browser line displays show 0.02, so their displayed sum can differ from the browser subtotal. Recheck the saved document and PDF when fractional quantities are involved. This explains current behavior; it does not certify a jurisdiction’s required rounding method.
Practical invoicing guides

For UK invoicing, GOV.UK lists an identifying number, supplier and customer details, a description of the supply, supply and invoice dates, charges, applicable VAT and the amount owed. Sole traders and limited companies have additional identity requirements. VAT invoices require further information. See GOV.UK’s invoice requirements.
In this editor, fill in the seller and customer details, invoice number, issue date and itemized charges. Use a specific description such as “Website maintenance, September 2026, 3 hours” instead of “Services”. The issue date does not automatically document when work was supplied: add the supply date in Notes. Keep an external numbering record for guest invoices so you do not reuse a number. Before sending, compare the actual PDF against the required fields. A tax percentage alone does not establish that a PDF is a complete VAT invoice; the one-rate calculator cannot represent a mixed-rate invoice.
The UK Small Business Commissioner recommends agreeing payment terms in advance, identifying the correct accounts-payable recipient, including a customer-issued PO number and clearly describing the work. Its guidance also recommends checking payment instructions. See the official guide to effective invoicing.
Before you prepare the PDF, check whether the customer requires a portal upload or a particular billing address. For an agreed 14-day term, enter the actual due date; do not assume a text label changes the date automatically. Put the payment reference and any required PO number in Notes because the current editor export omits the separate PO and Terms fields. Preview the PDF and verify those instructions are visible. Download it, open your email application and attach it. The tool’s Send Invoice action does not send an email or attach a PDF automatically. Record a partial payment only after confirming receipt; changing the invoice’s status does not collect money.
For US businesses, the IRS says recordkeeping should clearly show income and expenses and be supported by documents such as invoices, receipts and payment records. Electronic systems must preserve records in a form that can be retrieved and reproduced. See IRS guidance on business records. This is US guidance, not a universal retention schedule.
A local draft is a working copy. Download each issued invoice and keep it with the agreement, relevant purchase order and proof of payment in a backed-up location you control. Use filenames that include the invoice number, and keep a record of corrections so you can identify which copy was actually sent. Clearing browser data, changing devices or using a private browsing session can make local drafts unavailable. Account saving offers server storage, but this page does not promise a retention period or backup service. Determine the required retention period from the rules applicable to your business and preserve the records independently of this generator.

Guest draft storage does not mean the entire website is anonymous: page requests still reach the web host. Registering and saving an account document sends customer and invoice information to server storage; account sessions use cookies. Delete individual saved guest drafts from the editor, or clear this site’s browser data to remove local storage. Clearing local data does not delete downloaded PDFs or account records. Contact the provider about account data and deletion.
This capability and calculation review is dated 7 September 2026. It documents the application implementation, not an uptime audit or a guarantee that every deployment matches it. The browser/account rounding difference and omitted export fields above are known limitations. A release schedule, supported-browser commitment, account-data retention period, backup policy and privacy-request response period have not been established by this review.
